Methods, Evidence, and Limits
The optimizer runs in the browser and uses simple queueing logic. It estimates baseline no‑show probability from the data or the user setting, fills gaps larger than the configured threshold, and permits controlled overbooking per hour. It then simulates rescheduling of recent no‑shows or late cancellations using the success rate you set. No PHI should be pasted or uploaded. Exported files stay on your device.
- Inputs: schedule CSV, default slot length, shift hours, estimated no‑show rate, reschedule success rate, overbooking cap, backfill gap threshold.
- Outputs: predicted throughput, utilization, call list, and an optimized schedule CSV.
- Limits: Simple heuristics, not a capacity planner. Validate with local run charts before policy changes. Training use only.
How do I use the Radiology Throughput and No-Show Optimizer?
You can load your schedule either by uploading a CSV in the Setup tab or by starting with the sample data, then move to Assumptions to enter the default slot length, shift hours, your estimated no-show rate, a realistic reschedule success rate, a safe cap on overbooks per hour, and the minimum gap you are willing to backfill; click Run Optimizer to see baseline versus optimized throughput and room utilization, review the Results tab for a ranked call list of recent no-shows and late cancellations, and export the optimized schedule and charts for your huddle. A typical use case is an MRI leader who sees idle midday patches and late-day overtime. They upload the next two weeks of MRI appointments, set 45-minute slots for a 10-hour day, estimate a 12 percent no-show rate from recent logs, cap overbooking at one per hour, choose a 15-minute backfill threshold, and set rescheduling success at 40 percent for targeted outreach. The Optimizer shifts a few scheduled cases forward to close gaps, adds controlled overbookings where the hourly profile can accommodate them, and produces a call list sorted by risk score, allowing staff to recover likely no-shows. The dashboard then predicts one to two more completed exams per day without extending the shift, providing the team with a concrete plan to smooth the flow, reduce idle time, and protect technologist capacity.
